How to Configure Gmail in Outlook

✅ Prerequisites

  • A valid Gmail account

  • Outlook 2016 or later

  • 2-Step Verification enabled in Gmail

  • App password generated from your Google Account

🔧 Step 1: Enable IMAP in Gmail

  1. Sign in to your Gmail at https://mail.google.com

  2. Click the gear iconSee all settings

  3. Go to the Forwarding and POP/IMAP tab

  4. Under IMAP access, select Enable IMAP

  5. Click Save Changes.

🔐 Step 2: Generate an App Password

If you have 2-Step Verification enabled, follow these steps:

  1. Go to: https://myaccount.google.com/security

  2. Under "Signing in to Google", click App passwords

  3. Sign in if prompted

  4. Select App: Mail, and Device: Windows Computer

  5. Click Generate

  6. Copy the 16-character password shown – you will use this instead of your regular password.

📥 Step 3: Add Gmail Account to Outlook

  1. Open Outlook

  2. Go to: File > Add Account

  3. Enter your Gmail address (e.g., you@gmail.com)

  4. Click Connect

  5. Enter the App Password (not your Gmail password)

  6. Click Next > Done

⚙️ Manual IMAP Configuration (if auto fails)

  1. Go to File > Account Settings > New

  2. Select Manual setup or POP/IMAP

  3. Fill details:

Incoming Mail (IMAP):

  • Server: imap.gmail.com

  • Port: 993

  • Encryption: SSL/TLS

Outgoing Mail (SMTP):

  • Server: smtp.gmail.com

  • Port: 465 or 587

  • Encryption: SSL/TLS or STARTTLS

Use your full Gmail address and the App Password as credentials.
