How to configure outlook account for zoho account

Steps to Configure Zoho Mail account as IMAP in Outlook for Windows

 

1.    Log in to your Zoho mail account to enable IMAP access. (Login to www.zoho.com/mail >> Settings >> Mail Accounts >> IMAP Access >> Enable IMAP Access by clicking the checkbox). 

2.      Launch the Microsoft Outlook application in your Windows system.

3.      Click File and select Add Account.

4.      Locate and select 'Manual setup or additional server types', and click Next 

5.      In the ‘Choose Service’ page, select 'POP or IMAP', and click Next.

6.      In the 'Add Account' page, provide the following details:

·      User Information

a.  Your name: Your preferred display name. This will be used in the emails you send from Outlook. 

b.   Email address: Your Zoho account email address (user@domain.com or email aliases for organization accounts or username@zoho.com, if you have a personal account) 

·      Server Information:  For specific configuration related to your account, check this section. 

a.      Select IMAP from the Account Type menu.

b.      Incoming server: imappro.zoho.in - for organization accounts (if your domain is hosted with Zoho).

c.      Incoming Server: imap.zoho.in - for personal accounts (if you have a personal @zoho.com account)

d.      Outgoing Server: smtp.zoho.in

·      Logon Information:

a.   Username – The email address of your Zoho account (user@yourdomain.com for Email Hosting users / username@zoho.com for personal users).

b.   Password – Zoho Account Password (Use application specific password, if Two-Factor Authentication is enabled for your account.)

7.      Ensure that 'Remember Password' is checked and click More Settings.

8.      Outgoing Server tab: Select My outgoing server (SMTP) requires authentication and ensure that Use same settings as my incoming server is checked

9.      Select the Advanced tab and configure the Settings as follows:

a.  Incoming Server (IMAP): 993

b. Select SSL from the drop down menu for encrypted connection.

c.  In Outgoing Server, Select SSL from the drop down for the encrypted connection.

d.  Outgoing Server (SMTP): 465

e.  Click OK

f.  You will be redirected back to the 'Add New Email Account' section.

g.  Click Test Account Settings to check the configuration info.

10. When the tests are successful, Outlook will display a popup as shown below. Click Close. If you see any errors, check the troubleshooting section.

To configure your Zoho Mail account in Outlook using POP

Step 1: Enable POP in Zoho Mail

  1. Login to https://mail.zoho.com
  2. Click the gear icon (⚙️) Mail Settings
  3. Go to Email Forwarding and POP/IMAP
  4. Under POP Access, select either:
  5. Enable POP for all emails
  6. or Enable POP for emails that arrive from now on.

Step 2: Open Outlook and Add a New Account

  1. Open Microsoft Outlook
  2. Go to File > Account Settings > Account Settings
  3. Under the Email tab, click New.

Step 3: Select Manual Setup

  1. Choose Manual setup or additional server types
  2. Click Next
  3. Choose POP or IMAP Click Next

Step 4: Enter POP Settings

Fill in your details as shown:

      Your Name
           Your name
Email Address
yourname@yourdomain.com
Account Type
POP3
Incoming Mail Server
pop.zoho.com
Outgoing Mail Server (SMTP)
smtp.zoho.com
User Name
Password
Your Zoho password or App Password if 2FA is enabled


Step 5: Configure More Settings

🟠 Outgoing Server Tab:

  1. Check My outgoing server (SMTP) requires authentication
  2. Select Use same settings as my incoming mail server

🔵 Advanced Tab Settings:

Step 6: Finish Setup

  1. Click OK, then Next
  2. Outlook will test the connection
  3. If successful, click Finish

🔐 If Two-Factor Authentication is Enabled in Zoho

Use an App Password instead of your regular Zoho login password:

  1. Go to: https://accounts.zoho.com
  2. Navigate to Security > App Passwords
  3. Generate and use that password in Outlook
