Hybrid Setup - Zoho as Primary ➝ Microsoft 365 as Secondary

📌 Your domain’s MX Records point to Zoho
So all incoming emails land in Zoho first.

📩 Incoming Email Flow (External to Your Domain)

  1. Email is sent to user@yourdomain.com.

  2. Your domain’s MX records point to Zoho (mx.zoho.in).

  3. Zoho receives the email.

  4. Based on routing setup:

    • If user exists in Zoho ➝ Email is delivered to Zoho inbox.

    • If the user is on Microsoft 365 ➝ Zoho forwards or dual-delivers the email to Outlook (Exchange Online).

📤 Outgoing Email Flow

  • Zoho user ➝ Sends email via Zoho SMTP.

  • Outlook user ➝ Sends email via Microsoft 365 SMTP.

🔁 Internal Mail Flow

  • Zoho ➝ M365 user:

    • Zoho forwards email to Microsoft mailbox (based on user setup or rule).

  • M365 ➝ Zoho user:

    • M365 sends the mail directly to Zoho (using Zoho’s MX).

🔍 How to Trace Emails

🔹 In Zoho Admin Console

  1. Login to: https://mailadmin.zoho.com

  2. Go to: Email Logs

  3. Search by:

    • Sender / recipient

    • Date

  4. View:

    • Delivery Status (delivered, bounced, forwarded)

    • SMTP Logs

🔹 In Microsoft 365 Admin Center

  1. Login to: https://admin.exchange.microsoft.com

  2. Go to: Mail Flow > Message Trace

  3. Click Start a Trace

  4. Enter:

    • Sender or recipient email

    • Date range

  5. Click Search

  6. View:

    • Message status (delivered, failed, etc.)

    • Routing path
